Privacy Policy
GIO Solutions ("we", "us", "our") is a UK-based digital agency providing web design, web development and AI solutions. We respect your privacy and are committed to protecting your personal data. This policy explains what we collect, why, and the rights you have over it.
1. Who we are
GIO Solutions is the data controller for personal data collected through this website (giosolutions.co.uk). You can contact us about anything in this policy at info@giosolutions.co.uk.
2. What we collect
We collect personal data only when you provide it to us:
- Contact form submissions — your name, email address, the service you're interested in, your budget range, and your message.
- Email correspondence — anything you send to our email addresses, including your email address and the contents of your message.
- Project information — if you become a client, information reasonably required to deliver your project (such as business details, content, and account access you choose to share).
We do not use advertising or tracking cookies on this website. Our hosting provider (Cloudflare) may set strictly necessary cookies for security purposes (such as bot protection) and collects standard, aggregated server logs (such as IP address and browser type) to keep the site secure and available.
3. How we use your data
- To respond to your enquiry and provide quotes;
- To deliver services you have engaged us for, and to communicate about your project;
- To keep records we are legally required to keep (for example, invoicing and tax records);
- To protect the website and our business from fraud, spam and abuse.
We do not sell your personal data, share it with third parties for their marketing, or send you marketing emails you haven't asked for.
4. Legal bases
Under UK GDPR, we rely on: legitimate interests (responding to enquiries you send us and protecting our website), contract (delivering services you've engaged us for), and legal obligation (keeping business and tax records). Where we ever rely on consent, you can withdraw it at any time.
5. Who processes your data
We use a small number of trusted service providers to operate this website and our email:
- Cloudflare, Inc. — website hosting, security, and email routing/delivery;
- Google LLC (Gmail / Google Workspace) — our email mailbox, where enquiries and correspondence are received and stored.
These providers act as data processors on our behalf and may process data outside the UK; where they do, transfers are protected by appropriate safeguards such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses.
6. How long we keep it
- Enquiries that don't become projects — up to 12 months, then deleted;
- Client records and correspondence — for the duration of our engagement and up to 6 years afterwards, in line with UK business and tax record-keeping requirements;
- Server and security logs — retained briefly by our hosting provider in line with their policies.
7. Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you;
- Rectification — ask us to correct inaccurate data;
- Erasure — ask us to delete your data ("right to be forgotten");
- Restriction and objection — limit or object to how we use your data;
- Portability — receive your data in a portable format.
To exercise any of these, email info@giosolutions.co.uk — we'll respond within one month. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to resolve any concern with you first.
8. Security
This website is served over HTTPS, protected by Cloudflare's security services, and our contact form includes anti-spam measures. Access to your data is limited to those who need it to respond to you or deliver your project.
9. Third-party links
Our website may link to external sites (for example, client projects or social profiles). We are not responsible for the privacy practices of those sites — check their own policies.
10. Children
Our services are aimed at businesses and adults. We do not knowingly collect personal data from children under 16.
11. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows the current version. Significant changes will be highlighted on this page.
12. Contact
